I. Initial Contact and Order Confirmation (Customer Development → Contract Signing)
1. Customer Development and Inquiry: Connect with overseas buyers, providing product specifications ( bagged, canned), quotations, samples, and certifications (HACCP, ISO, export registration).
2. Sample Confirmation: Sample delivery → Customer testing/confirmation of flavor, concentration, and packaging → Sample sealing and retention.
3. Business Negotiation and Contract Signing: Negotiate price, payment (mainly T/T, L/C), delivery date, packaging, shipping marks, port of destination, customs clearance certificates → sign export contract.
4. Payment Collection and Production Scheduling: Receive advance payment (30% T/T) → Issue production orders and organize production according to batches (same raw material/concentration/packaging).
II. Production and In-Plant Quality Inspection ( Yuyao Yijia Food )
1. Production execution: Print brand and product outer packaging and cans according to customer requirements, and label the product name, specifications, batch, production date, shelf life and place of origin. Produce according to export standards, manage batches (uniform inspection within the same batch), and keep good production records and batch numbers.
2. Self-inspection + sample retention: Self-inspect sensory evaluation (color, odor, texture) , net content, viscosity, pH , color difference value, and lycopene content ; different sample retention rules are adopted according to different product batches. In principle, the number of samples retained for each batch shall not be less than 2 cans, and each sample retention shall be recorded . The retention period shall not be less than the shelf life.
III. Export Inspection and Customs Clearance (Yuyao Customs, Batch Inspection Model)
1. Inspection and Registration: Yijia has completed the registration of its export food production enterprise and the inspection and registration at the place of origin (Yuyao Customs).
2. Declaration and Inspection: Submit the inspection declaration form, contract, invoice, packing list, factory inspection certificate, and batch record; the first batch will undergo on-site inspection and laboratory testing, while subsequent batches will only require document verification (batch inspection reform).
3. Issuance of Certificate and Release: Inspection passed → Customs issues certificate → Export permitted.
IV. Booking, Logistics and Customs Clearance (Ningbo Port)
1. Booking and Trucking: Contact the freight forwarder → Book shipping space (mainly by sea) → Arrange trucking from Yijia Foods to Ningbo Port.
2. Export Customs Declaration: Submit customs declaration form, contract, invoice, packing list → Customs electronic declaration, document review, and release.
3. Loading and shipping: Goods arrive at the port and are loaded onto the ship → Obtain the bill of lading (B/L) and confirm the shipping schedule and voyage.
V. Document Submission, Foreign Exchange Settlement and After-Sales Service
1. Document Submission: Submit a complete set of documents (B/L, invoice, packing list, certificate of origin, health certificate, insurance policy) to the customer/bank according to the payment method (T/T/L/C).
2. Foreign Exchange Settlement: T/T final payment receipt → foreign exchange settlement; L/C document presentation and negotiation → foreign exchange receipt.
3. Customs Clearance Assistance: Provide clients with all necessary certificates for customs clearance at the destination port and assist in resolving customs clearance issues.
4. After-sales service and traceability: Track delivery, provide quality feedback; retain batch/production/inspection records for traceability.
VI. Tax Refund (Optional)
After export customs declaration is completed and foreign exchange is received, export tax refund (export tax refund for canned food) will be processed.
